Please read these terms and conditions carefully before booking any courses through our website or via the Gamesweek booking leaflet. Payment is regarded as acceptance of our booking terms and conditions. After booking a course online or by letter you will receive an e-mail (or letter if a SAE is supplied) from us confirming the booking. No booking will be fully confirmed until full payment is received / cleared. This is when the Contract between us is formed. Gamesweek accepts payment by cheque, debit card and childcare vouchers. There are no additional charges for using a debit card. Please note we do not accept American Express.

By placing a booking through our web site or by using the booking form by post, you warrant that you are legally capable of entering into binding contracts, you are at least 18 years old, you are the parent or legal guardian of the child you are booking onto the course and the child will be between the ages of 5 and 15 years old and in full time education (on the first day of the course) You are resident and are accessing our site from the United Kingdom.

Requests for a maximum of THREE children to be together can be made in advance of the course when booking online or by calling Mr / Mrs Dickinson the Gamesweek numbers 01434609906 / 07762099266. Please ensure that all parties have agreed to the grouping. We require both first name and surname of your child and their friend(s). There should be no more than one year age difference. We endeavour to honour all requests however because of strict group sizes and group dynamics, we are unable to guarantee this. We are also unable to respond to such requests on the first day of the course.

If you give us 7 days (or more) notice before the date(s) you would like to change, you are able to change them to different dates within the same holiday season (e.g. Summer), subject to availability, free of charge. If you give us less than 7 days notice before the date(s) you would like to change, we will endeavour to change dates within the same season, subject to availability, on payment of a £5.00 amendment fee. The amendment fee is necessary to cover administration and staffing costs.

Any cancellations of Gamesweek places must be received in writing (with supporting medical evidence if relevant).

If you cancel before midnight on the Sunday 7 days before the week in which you have booked cancellations are subject to a 20% cancellation fee and the remainder will be refunded to you by the original payment method. Alternatively, we can keep the full amount as credit for use in the future (in the same financial year).

No refunds will be made after the Sunday 7 days before the week in which you booked.

All children in our care are covered by our Public Liability Insurance.

In the event of an accident first aid will be administered to children in our care and the emergency services will be called if necessary, unless advised to the contrary. Essential medication must be handed in to Mrs Dickinson for safe-keeping. In accordance with Ofsted recommendations, we suggest that all parents of children carrying Epipens arrange for a qualified medical practitioner to demonstrate use of the Epipen to our on-site first aider, Mrs Dickinson and the Group Leader on their first day at camp. If this is not possible then we will accept a demonstration given by a parent/guardian.

All the information in our literature was correct at time of print. Changes may occur and if so, Gamesweek will try to inform parents as quickly as possible. Activity programmes are subject to change in the event of unsuitable weather or other circumstances beyond our control.

Please be aware that we occasionally take photographs of children at Gamesweek for use in our promotional material. Please advise us when you book if you have any objections.

Gamesweek is an equal opportunities employer and welcomes all children regardless of their gender, ability, race or religion. Each child attending a course  is of equal value and is entitled to equal access of opportunity. We operate a zero tolerance policy to discrimination or bullying of any kind. Gamesweek has legal obligations in relation to Child Protection. As a caring organisation, any suggestion of child abuse or neglect will be investigated and reported to our regulator Ofsted or other official agencies.

It is our policy not to exclude any child due to specific needs, wherever possible. The needs of each child vary so decisions are made on a case-by-case basis, depending on the level of support each individual child requires to enable them to fully participate in and enjoy activities at our courses. We request that parents of children with specific needs contact Mr / Mrs Dickinson to discuss how we can best accommodate their child and consider whether any special arrangements need to be made. You must provide us, in sufficient time, with any information and instructions relating to the child to enable us to provide the courses in accordance with these terms and conditions. If you provide us with incomplete, incorrect or inaccurate information or instructions, we may cancel the Contract by giving you written notice. No refund will be made for any remaining days booked.

This may occur on rare occasions if a child proves incompatible with the general well-being of Gamesweek e.g. bullying, disruptive or aggressive behaviour. Gamesweek reserves the right to exclude a child in such circumstances. No refund will be made for any remaining days booked. Any costs associated with the exclusion, including transport home, will be the parent’s responsibility.

We will use your details to mail and/or email you with future information about our courses. You may opt out of our mailing list when booking or afterwards at any time.

Unless we are prevented from doing so by a Force Majeure Event, we will provide courses which: (a) conform in all material respects with their description (on the Gamesweek site or in the booking leaflet); (b) are carried out with reasonable care and skill; (c) are fit for any purpose we say the courses are fit for;(d) are free from material defects in design, material and workmanship; and (e)  comply with all applicable statutory and regulatory requirements for supplying the courses in the United Kingdom.
You must provide us, in sufficient time, with any information and instructions relating to the child to enable us to provide the courses in accordance with these terms and conditions. This information is included in the online booking process (in respect of each child) together with any other information about your child that you think is relevant for us to know in respect of the courses(s).  Alternatively send information in a separate letter with your booking form. If you provide us with incomplete, incorrect or inaccurate information or instructions, we may cancel the Contract by giving you written notice.

We will provide the course(s) to your child on the date(s) set out in the booking confirmation.
We will make every effort to carry out the course(s) on time but there may be delays due to circumstances beyond our control. In this case we will complete the courses as soon as reasonably possible, and in the event we have to cancel a course you will be offered a place on an alternative course or a full refund.  We may have to suspend a course if we have to deal with technical problems, or to make improvements to the course. We will let you know in advance where this occurs, unless the problem is urgent or an emergency.  We reserve the right to modify a course due to adverse weather conditions, low attendance or other unforeseen circumstances and will notify you of such modification as soon as possible.

We aim to provide the best possible care for all children, at all times. Please tell other parents if you are happy with your experience of Gamesweek. If you have concerns or suggestions, please tell us. We value your feedback and use it to develop and improve our services. Copies of Parent Feedback are held at
Concerns should be raised initially with your child’s Group Leader or Mr / Mrs Dickinson for more serious issues. We will attempt to resolve the issue to your satisfaction. Failing that, you can contact our regulator Ofsted Tel: 0300 123 4666 quoting the Gamesweek registration number 319281.

In the unlikely event that the course(s) do not conform to these terms and conditions, please let us know as soon as possible by telephone, email or by post to 8 Fairfield Crescent, Oakwood, Hexham, NE46 4LH. We will aim to deal with your complaint within 48 hours of its receipt in accordance with our complaints procedure which is available on request.  We may then, at our option: (a) provide you with a full or partial refund, depending on what is reasonable; or (b) offer you a place on an alternative course.  These terms and conditions will apply to any substitute course we book for you.

The copyright, design right and all other intellectual property rights in the booking leaflet, the site and any other materials and other documents or items that we prepare or produce in connection with the courses are either licensed to or belong to us absolutely. You may not use the booking leaflet, site, materials, documents or other items for any commercial purpose.

If you cancel a Contract you may receive a refund in accordance with our cancellations policy set out in the Gamesweek booking terms and conditions.  To cancel a Contract, you must inform us in writing, by telephone or by email. If this cancellation is made after the course begins you must stop your child from attending any remaining sessions of the course.

We will not be liable or responsible for any failure to perform, or delay in performance of, any of our obligations under a contract that is caused by an event outside our reasonable control i.e. a Force Majeure Event.
A Force Majeure Event includes any act, event, non-happening, omission or accident beyond our reasonable control and includes in particular (without limitation) the following:
(a) strikes, lock-outs or other industrial action;
b) civil commotion, riot, invasion, terrorist attack or threat of terrorist attack, war (whether declared or not) or threat or preparation for war;
(c) fire, explosion, storm, flood, earthquake, subsidence, epidemic or other natural disaster;
(d) impossibility of the use of railways, shipping, aircraft, motor transport or other means of public or private transport;
(e) impossibility of the use of public or private telecommunications networks; and
(f) the acts, decrees, legislation, regulations or restrictions of any government.
Our performance under any Contract is deemed to be suspended for the period that the Force Majeure Event continues, and we will have an extension of time for performance for the duration of that period. We will take reasonable steps to bring the Force Majeure Event to a close or to find a solution by which our obligations under the Contract may be performed despite the Force  Majeure Event.

Our liability for losses you suffer as a result of us breaking this agreement including deliberate breaches is strictly limited to the purchase price of the course you booked and any losses which are a foreseeable consequence of us breaking the agreement. Losses are foreseeable where they could be contemplated by you and us at the time your booking is accepted by us.
This clause does not include or limit in any way our liability for:
(a) death or personal injury caused by our negligence; or
(b) fraud or fraudulent misrepresentation; or
(c) any breach of the obligations implied by section 2 of the Supply of Goods and Services Act 1982; or
(d) losses for which it is prohibited by section 7 of the Consumer Protection Act 1987 to limit liability; or
(e) any other matter for which it would be illegal or unlawful for us to exclude or attempt to exclude our liability.

We are not responsible for indirect losses which happen as a side effect of the main loss or damage and which are not foreseeable by you and us, including but not limited to:
(a) loss of income or revenue;
(b) loss of profits or contracts;
(c) loss of anticipated savings; or
(d) loss of data.

We have the right to revise and amend these terms and conditions from time to time to reflect changes in market conditions affecting our business, changes in technology, changes in payment methods, changes in relevant laws and regulatory requirements and changes in our system's capabilities.
You will be subject to the policies and terms and conditions in force at the time that you book Courses with us, unless any change to those policies or these terms and conditions is required to be made by law or governmental authority (in which case it will apply to bookings previously placed by you), or if we notify you of the change to those policies or these terms and conditions before we send you the booking confirmation (in which case we have the right to assume that you have accepted the change to the terms and conditions, unless you notify us to the contrary).
